This logistics business has a need for an Executive Assistant to aid the directors in the running of the business. The role is varied with multiple responsibilities and requires a confident, detail orientated individual who can manage their time effectively. It's the perfect opportunity for someone who's looking to move to a part-time role and contribute to the ongoing success of one of Cork's leading logistics companies with a blue-chip client base.

Key Duties & Responsibilities:

Quality Management;

  • Responsible for the overall quality administration processes
  • Manage the coordination of internal and external quality audits
  • Management of databases to support the Quality System
  • Conducting Internal audits of the QMS as well as audits of external suppliers and sub-contractors
  • Preparing management reviews
  • Document & Change Control
  • Write, review and approve procedures, SOPs and process maps.

Human Resources;

  • Provide HR support to the business, answering employee and manager queries about HR programs, policies and other HR-related topics.
  • Assist with planning and roll-out of HR programs and initiatives.
  • Identify opportunities to improve HR policies and propose solutions to improve
inconsistent HR policies and gaps.

Tender Management;

  • Working closely with the wider sector business development and operations team to help develop and design tailored tender proposals as well as shaping best practice.
  • Liaise with clients and the business to gather feedback and ensure they are incorporated into future tenders and any lessons learnt are shared with stakeholders.
  • Ensure tenders and business proposals meet all relevant specifications and are in line with the most recent research available and best practice

Property Management;

  • Provide contract administrative support in relation to tenancy leases
  • Liasing with providers and sub-contractors


  • Demonstrate ongoing attention to detail
  • Serve as back up support for other managers or administrative staff when required

Core Requirements;

4+ years' experience in a busy, multi-faceted administrative support role

Experience in the management of a Quality Management System#

Experience within a human resource function

Demonstrable experience in writing, compiling and designing successful proposals and bids

Ability to self-manage multiple priorities and a busy workload

Strong organisational skills – project management would be a distinct advantage

Experience prioritizing multiple projects

Highly proficient in business applications

Excellent communicator, both written and verbal

Flexible - in terms of responsibilities and responsiveness with a positive "can-do"

Natural ability to multitask and prioritize in a dynamic environment

Quick learner - able to figure out new systems and adapt on the go

Independent - able to work with little direction and can exercise sound judgement when making time-sensitive decisions

Confident Self-starter - knows when to trust instincts and when to ask for help

Problem solver - able to actively find a creative solution efficiently and proactively

Trustworthy - must have discretion with access to sensitive company, customer, and personal information


Full time, permanent


€38k (pro-rata) depending on experience
